- Documents and business information you upload to the client portal for the purpose of a specific engagement.
- Account information required to operate the client portal, including your email address and authentication records.
- Basic technical information such as the page an enquiry was submitted from, and standard server logs used to keep the site secure.
2. How we use your information
- To respond to your enquiry and provide the professional services you request.
- To prepare quotations, invoices and payment receipts.
- To file applications and returns with government departments on your instruction.
- To send service-related updates about your engagement.
- To meet our own legal, tax and record-keeping obligations.
We do not sell your data, and we do not use enquiry details for unrelated marketing lists.
3. Sharing with third parties
We share information only where it is necessary to deliver your engagement — for example with the chartered accountant, company secretary, advocate or trademark attorney working on your file, or with the relevant government portal. We also use infrastructure providers for hosting, database storage and message delivery. These providers process data on our instruction only.

Data is stored on managed cloud infrastructure with access controls in place. Client portal documents are held in private storage that is only accessible to your own authenticated account and authorised HYVANIX staff. Access to internal administrative areas is restricted by role.
5. Retention
Engagement records, filings and financial documents are retained for as long as required under applicable Indian law. Enquiry records that do not convert into an engagement are retained only for as long as they are useful for follow-up, and can be deleted earlier at your request.
6. Your rights
- Ask what personal information we hold about you.
- Ask us to correct information that is inaccurate.
- Ask us to delete information we are not legally required to retain.
- Withdraw consent for non-essential communication at any time.
7. Cookies
This site uses only the storage necessary to keep you signed in to the client portal and to remember basic interface preferences. We do not run third-party advertising trackers on this website.
